Operations Associate – Executive Assistant Full Time NEW

Role Overview:

This role supports the team across multiple fast-moving workstreams. The emphasis is project management, execution discipline, and clear communication. You own systems, track progress, and make sure nothing drops.

Key Roles & Responsibilities:

1. Execution & Task Ownership:

– Own end-to-end execution across product, operations, and internal workflows.

– Translate ambiguous instructions into clear action plans and deliverables.

– Drive follow-ups proactively and ensure tasks are fully closed.

2. Calendar & Time Management:

– Manage a fast-moving, high-volume calendar.

– Proactively resolve conflicts based on shifting priorities.

– Ensure every meeting has a clear agenda and the right participants.

– Protect and allocate time for deep work based on urgency and impact.

3. Notion & Internal Systems:

– Build and maintain core operating systems in Notion.

– Own trackers, workflows, automations, and internal tooling.

– Standardize structures across teams. (hiring, reviews, engagements, etc.)

– Continuously improve system clarity, usability, and accuracy.

4. Communication & Coordination:

– Act as the central coordination layer across Slack, email, and WhatsApp.

– Summarize discussions, clarify decisions, and drive next steps.

– Communicate clearly with internal and external stakeholders.

– Maintain high signal-to-noise across all communication.

5. Data, Tracking & Quality Assurance:

– Maintain accuracy across trackers, dashboards, and internal systems.

– Identify inconsistencies, edge cases, and process gaps.

– Flag issues early and propose effective solutions.

– Treat attention to detail and correctness as non-negotiable.

Requirements:

– 2-3 years of experience in operations or coordination roles.

– Strong project management instincts across multiple workstreams.

– Advanced proficiency in Notion. (databases, relations, automations)

– Clear, structured written communication Slack and email)

– High attention to detail and reliability.

– Comfortable working in fast-paced, ambiguous environments.

– Comfortable working in the EST Eastern Standard Time) time zone.

Nice to Have:

– Experience in startups, consulting, or finance.

– Exposure to async, distributed teams.

– Familiarity with UK or US working styles.

– Comfort using AI tools. (e.g., ChatGPT, Claude)
