Position: Procurement Manager – Office Interiors

We at Aldecor are looking for a highly detail-oriented and process-driven Procurement Manager – Office Interiors to lead end-to-end procurement operations, vendor management, and cost control across projects.

Key Responsibilities

Vendor Registration & Onboarding

• Ensure all vendors are formally registered with complete documentation prior to engagement
• Finalize and execute vendor agreements before mobilization
• Maintain an updated vendor database including scope, rates, and compliance

Supplier Sourcing & Vendor Finalization

• Identify and onboard reliable vendors aligned with project needs
• Conduct structured vendor comparisons (2–3 vendors per requirement)
• Lead multi-round negotiations to secure optimal commercial terms
• Finalize and communicate approved rates and terms

Procurement Documentation & Compliance

• Manage all procurement documentation:
• Material Indents
• Vendor Quotations
• Comparison Statements (Quoted vs Finalized)
• Purchase Orders (POs)
• Ensure all POs are approved and signed before release
• Capture scope, commercial terms, and payment conditions clearly in documentation
• Coordinate for shop drawing approvals prior to procurement

Material & Supply Management

• Maintain real-time procurement trackers and systems
• Share material lead times proactively with site teams
• Ensure timely dispatch and delivery coordination
• Verify all materials received match PO specifications and quality standards

Vendor Management

• Build and maintain strong vendor relationships
• Monitor vendor performance on quality, timelines, and compliance
• Resolve issues related to delays, mismatches, or documentation

Cost Control & Project Planning

• Track quoted vs procured values for each project
• Maintain NT (Non-Tendered / Non-BOQ) item tracking
• Ensure procurement aligns with budgets and project forecasts

Accounts & Payment Coordination

• Coordinate advance payment requirements with Accounts
• Negotiate and document payment terms in POs
• Track advances, billing, and payment cycles
• Ensure timely reconciliations

Material Reconciliation

• Monitor ordered vs delivered vs utilized quantities
• Identify discrepancies and drive corrective actions with site and vendors

Pre-Procurement Compliance (Mandatory)

• Validate material indents with site teams
• Ensure rate and quantity accuracy as per approved quotations
• Enforce zero wastage consideration in ordering
• Secure sample approvals before procurement
• Complete vendor comparisons and negotiations
• Ensure PO approvals before order placement

Qualifications & Competencies

• 3–5 years of procurement experience in interiors, construction, or civil industry
• Strong expertise in vendor management, negotiations, and procurement systems
• High attention to detail and process adherence
• Ability to manage multiple projects simultaneously
• Strong coordination skills across site, design, and accounts teams
• Proficiency in MS Office and ERP systems preferred
