Operation & Admin Executive Full Time NEW

NeuroNurture Kids is growing — and behind every smooth therapy session, on-time meeting, and happy parent is a great operations person making it happen.

We’re looking for a sharp, organized, and proactive Operations & Admin Executive to be the operational backbone of our team. You’ll work directly with the Director to keep the business running seamlessly — from managing our CRM and collecting payments to scheduling sessions, supporting sales calls, and everything in between.

Key responsibilities

• Own daily scheduling and rescheduling of therapy sessions, team meetings, and client calls — ensuring zero conflicts and timely reminders
• Manage the Director’s calendar proactively — prioritizing, blocking time, and preparing for every commitment
• Maintain and update the CRM daily — log all lead interactions, session updates, follow-up notes, and client status with accuracy
• Collect and track payments — send invoices, follow up on dues, confirm receipts, and maintain clean payment records
• Call and follow up with leads — answer queries, share service information, and book discovery calls
• Participate actively in sales calls — assist in presentations, take notes, and handle all follow-through post-call
• Support ongoing therapy sessions — manage logistics and ensure families have a smooth, stress-free experience
• Coordinate internal team meetings — prepare agendas, take minutes, and follow up on action items
• Be the first point of contact for parents and caregivers — handle inquiries with warmth and professionalism

What we’re looking for

• 1–3 years of experience in admin, operations, coordination, or inside sales roles
• Hands-on experience working with a CRM tool (Zoho, HubSpot, Freshsales, or similar)
• Comfortable handling payment follow-ups and maintaining basic financial records with accuracy
• Excellent verbal and written communication — in English and Hindi (regional language is a bonus)
• Strong command of Google Workspace — Calendar, Sheets, Docs, MeetComfortable
• making outbound calls and handling client interactions with confidence and empathy
• Highly organized — you spot scheduling gaps and pending payments before they become problems
