Job Description – IT Asset Coordinator

Overview

We are seeking a highly organized and detail-oriented IT Asset Coordinator to manage and oversee the lifecycle of IT software assets. The ideal candidate will be responsible for maintaining accurate inventory records, ensuring seamless asset tracking, coordinating with cross-functional teams, and supporting audit and compliance activities. Strong proficiency in ServiceNow and Microsoft Excel, along with excellent communication and coordination skills, are essential for success in this role.

Key Responsibilities

Inventory Management

• Maintain accurate records of IT software assets, including acquisition, allocation, movement, and disposal.
• Track asset movement across multiple locations and ensure the master inventory remains accurate and up to date.
• Conduct regular audits to validate both physical and digital asset records.
• Ensure proper tagging, documentation, and traceability of all IT assets.

Data Management

• Update and manage the master inventory database with complete and accurate asset-related information.
• Utilize Microsoft Excel for data analysis, reporting, reconciliation, and inventory insights.
• Maintain version control and ensure timely updates to asset records and reports.

Communication & Coordination

• Collaborate with the Finance team to reconcile and maintain the Fixed Asset Register (FAR).
• Coordinate with internal stakeholders for asset allocation, retrieval, and lifecycle management activities.
• Manage communication effectively through emails and tracking mechanisms to ensure timely responses and closures.

Audit & Compliance

• Support the preparation and execution of internal and external audits.
• Ensure compliance with company policies and procedures related to asset management and reporting.
• Assist the Finance team with audit documentation and reconciliation activities.

Operational Oversight

• Conduct regular floor walks to monitor physical assets and validate inventory records.
• Identify discrepancies in asset records and initiate corrective actions promptly.
• Ensure adherence to asset management best practices across all operational processes.

Process Improvement

• Identify opportunities to improve asset tracking, reporting, and inventory management processes.
• Recommend and implement process enhancements to improve operational efficiency and accuracy.

Qualifications & Skills

• 3 to 8 years of experience in IT Asset Management.
• Proven experience in software asset inventory and lifecycle management.
• Advanced proficiency in ServiceNow and Microsoft Excel (including Pivot Tables, VLOOKUP, data analysis, and reporting).
• Strong organizational skills with exceptional attention to detail.
• Excellent verbal and written communication skills.
• Ability to coordinate effectively with cross-functional teams and stakeholders.
• Experience working with Fixed Asset Registers (FAR) and audit processes.
• Ability to work independently and manage multiple priorities in a fast-paced environment.
