Job Summary

The OT Operations Manager will be responsible for the overall administration, coordination, efficiency, and performance of Operation Theatre services. The role involves managing OT scheduling, utilization, manpower planning, quality standards, infection control compliance, equipment availability, vendor coordination, and ensuring seamless surgical operations while maintaining patient safety and operational excellence.

Key Responsibilities

Operational Management

• Oversee day-to-day functioning of all Operation Theatres.
• Ensure optimal utilization of OT resources, manpower, and infrastructure.
• Monitor OT scheduling and coordinate with surgeons, anesthetists, nursing, and support teams.
• Ensure timely start and completion of surgical procedures.
• Minimize OT downtime and improve operational efficiency.

OT Utilization & Productivity

• Track OT utilization rates and develop strategies to improve productivity.
• Analyze surgery volumes, cancellations, delays, and turnaround times.
• Prepare monthly OT performance reports and dashboards.
• Monitor specialty-wise and surgeon-wise OT utilization.

Team Management

• Supervise OT nursing staff, technicians, and support personnel.
• Ensure adequate staffing and roster management.
• Conduct regular performance reviews and training programs.
• Promote teamwork and a culture of patient safety.

Quality & Compliance

• Ensure compliance with NABH, JCI, infection control, and statutory guidelines.
• Monitor surgical safety checklist adherence.
• Conduct audits and implement corrective actions.
• Ensure documentation and records are maintained accurately.

Equipment & Inventory Management

• Ensure availability and functionality of OT equipment.
• Coordinate preventive and breakdown maintenance activities.
• Monitor surgical consumables and inventory levels.
• Coordinate with biomedical engineering and procurement teams.

Financial Management

• Monitor OT-related costs and resource utilization.
• Identify opportunities for cost optimization without compromising quality.
• Assist in budgeting and capital equipment planning.

Patient Experience

• Ensure smooth patient flow from pre-operative to post-operative stages.
• Address patient and surgeon concerns promptly.
• Maintain high standards of patient care and satisfaction.

Coordination & Stakeholder Management

• Liaise with surgeons, anesthesiologists, nursing teams, ICU, wards, CSSD, biomedical, and support departments.
• Coordinate special surgeries, transplant cases, robotic surgeries, and emergency procedures.

Qualification

• Bachelor’s Degree in Healthcare Administration, Nursing, Hospital Management, or Allied Health Sciences.
• Master’s Degree in Hospital Administration (MHA/MBA-Hospital Management) preferred.

Experience

• 8–15 years of experience in hospital operations.
• Minimum 5 years of experience managing Operation Theatre services in a multispecialty or tertiary care hospital.
• Experience in NABH/JCI accredited hospitals preferred.
