Role Description

This is a full-time on-site role for an Admin & Accounts Manager based in New Delhi. The Admin & Accounts Manager will oversee daily administrative operations, ensure proper financial accounting and reporting, and manage office resources efficiently. Responsibilities include coordinating with vendors and internal teams, preparing budgets, maintaining financial records, handling invoicing and payroll, and ensuring compliance with relevant regulations.This role will work closely with leadership to streamline processes, improve cash flow management, and support strategic business operations.

Key Responsibilities

Financial Leadership & Control

• Lead end-to-end financial operations including invoicing, receivables, payables, and cash flow monitoring.
• Establish and optimize billing cycles, payment terms, and collection strategies to improve cash flow.
• Oversee GST compliance, filings, and coordination with external CA; ensure full regulatory adherence.
• Generate financial reports, project-level profitability insights, and support decision-making for leadership.
• Implement systems for financial tracking, forecasting, and cost control.

Client Billing & Commercial Oversight

• Manage high-value client billing cycles and proactively follow up on outstanding payments.
• Review and contribute to commercial proposals, RFP responses, and fee structuring.
• Ensure financial and contractual documentation is accurate, organized, and risk-mitigated.

HR & Payroll Management

• Oversee payroll processing, salary structuring, and compliance with statutory requirements.
• Maintain employee records, contracts, and HR documentation systems.
• Support leadership with hiring logistics, onboarding, and policy structuring.

Operations & Administration Strategy

• Build and manage efficient administrative systems for a growing design studio.
• Oversee travel planning (domestic & international), ensuring cost optimization and reliability.
• Manage procurement strategy, vendor negotiations, and cost benchmarking for office and project needs.
• Ensure smooth daily operations while identifying opportunities for process improvement and automation.

Vendor & IT Management

• Lead vendor selection, negotiation, and performance management across office, IT (hardware & software), and project needs.
• Coordinate with IT partners for infrastructure setup, security, and ongoing troubleshooting.
• Maintain SLAs and ensure minimal disruption to studio operations.

Required Skills & Experience

• Bachelor’s degree in Commerce, Finance, Business Administration or related field (MBA preferred).
• 5–8 years of experience in accounts and administration, with at least 2–3 years in a senior or leadership role.
• Strong expertise in GST, compliance, financial reporting, and cash flow management.
• Advanced proficiency in Excel and accounting tools (Tally or equivalent).
• Experience in managing end-to-end admin and finance functions in small-to-mid-sized firms.
• Strong negotiation, communication, and stakeholder management skills.
• Ability to create systems, not just execute tasks.

Preferred Profile

• Experience in design, architecture, consulting, or project-based environments.
• Exposure to international client billing and multi-currency transactions.
• Process-driven mindset with the ability to bring structure to a growing organization.
