Role Description

Primary Responsibilities

• Client Communication Handle enquiries and route to the liaison team. Coordinate between therapists and clients, including welcome messages, consent forms, and payment or session-related follow-ups. Maintain and update the client data sheet.
• Social Media Coordinate with therapists and the internal team for content. Post on Unalome’s social media pages.
• Billing & Accounts Cross-check UPI payments. At month-end, confirm therapist session numbers and tally against billing.
• Meetings Document notes for important meetings and exit interviews.
• Performance Management Support competency benchmarking and performance tally processes.

Supporting Responsibilities

• Calendar & Session Checks Cross-check therapist working days against their calendar sessions. Follow up on tentative sessions for the week ahead. Send therapists a snapshot of the following week’s schedule and daily session summaries on WhatsApp groups.
• Client Follow-ups Send reminder messages and invoices to clients as needed.
• Billing & Trackers Maintain the client payment tracker, billing sheet, and petty cash tracker. Send day-end payment snapshots to the senior team. Follow up on bank transfers with the team. At month-end, share relevant information with the CA and ops team.
• Leave Register Update the leave register as and when required.

Qualifications

• Proficiency in Executive Administrative Assistance and Administrative tasks, such as scheduling, document management, and correspondence
• Strong General Administration skills, including organizational and planning abilities
• Excellent Communication and Interpersonal Skills
• Detail-oriented with strong problem-solving capabilities
• Ability to work independently and manage priorities effectively in a remote work environment
• Proficiency in standard office software and tools
• Experience in a mental health or therapy-related setting is a valuable advantage
• Bachelor’s degree in Business Administration, Communications, or a related field preferred
