Contract Assistant Full Time

This role sits within a global legal and contracts environment, supporting publishing operations through efficient contract administration, rights management, and database coordination. You will play a key part in ensuring that legal agreements are accurately processed, stored, and tracked across multiple regions and business units. The position involves close collaboration with legal, editorial, and publishing teams in both the UK and US, requiring strong organizational skills and attention to detail. You will help maintain compliance standards, support publication ethics workflows, and respond to internal and external contract-related queries. Accountabilities

• Provide day-to-day administrative and operational support to the global legal and contracts function, including basic reporting and contract-related data handling.
• Support contract lifecycle activities such as preparation, tracking, signing, filing, and secure storage of agreements across UK and US publishing operations.
• Manage and maintain legal agreements databases, ensuring accurate tracking of contract terms and generating regular reports for stakeholders.
• Coordinate and route contract queries and tasks within the team, ensuring timely resolution and proper prioritization.
• Handle shared inboxes, responding to internal and external queries related to contributor agreements, author reuse policies, and publishing contracts.
• Support publication ethics processes by managing JIRA-based queries and ensuring timely, accurate responses.
• Review contractual documentation and assist with editor and assistant editor agreements with increasing autonomy.
• Ensure compliance with author reuse policies and industry standards by maintaining up-to-date reference systems and supporting best practices.
• Collaborate closely with legal, editorial, and publishing teams across regions to support ongoing projects and ad hoc requirements.

Requirements

This role requires strong administrative capability, attention to detail, and the ability to manage multiple tasks in a structured and time-sensitive environment. The ideal candidate should be comfortable working in a global, cross-functional setup and handling sensitive contractual information.

• Strong proficiency in Microsoft Office and database management tools.
• Experience or familiarity with publishing workflows, contracts, or rights management is an advantage.
• Understanding of copyright, contract basics, or legal frameworks in publishing is desirable.
• Strong written and verbal communication skills with a service-oriented mindset.
• Ability to manage deadlines, prioritize tasks, and work independently in a fast-paced environment.
