Job Description

Position Title- Project Administrator

Primary Location: Pune / Noida, India

Work Model: Onsite- In office

A Day in the Life

As a Project Administrator, you will support the end-to-end project lifecycle by providing essential administrative and operational support across multiple projects. You will work closely with project teams, finance, supply chain, and internal stakeholders, reporting to the SSO Team Lead, while operating in a dynamic, matrix environment.

Your Responsibilities

• Provide administrative support throughout the project lifecycle including project entry, BOM ordering, invoicing, reporting, and project closure activities.
• Gather, validate, and summarize data to support order input and system transactions in compliance with established procedures.
• Track materials, manage shipping and receiving activities, and perform expediting functions to minimize service loss and customer back orders.
• Generate accurate usage, pricing, availability, and project status reports from ERP systems on a scheduled and ad-hoc basis.
• Support invoicing activities and ensure required financial and project documentation meets company and finance policies.
• Validate documents prior to executing system transactions to ensure accuracy and compliance.
• Resolve issues independently using business knowledge and escalate process or system concerns to the Team Lead when required.
• Maintain confidentiality of sensitive technical, financial, and commercial information while supporting internal and external stakeholders.
• Participate in continuous improvement initiatives related to project tracking, reporting, and administrative processes.

The Essentials – You Will Have

• Bachelor’s degree in Business Administration, Commerce, Science, or equivalent qualification.
• A minimum of 3 years of relevant experience in project administration, operations, or coordination roles.
• Hands-on experience with ERP systems (preferably IFS and SAP) and standard project management processes.
• Strong proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
• Ability to work effectively in a fast-paced, matrix environment and manage multiple priorities.

The Preferred – You Might Also Have

• Experience supporting global or regional project teams.
• Strong organizational, time management, and documentation skills.
• Effective communication skills with the ability to collaborate across geographically distributed teams.
• Exposure to change management and process improvement initiatives.
• Fluency in written and spoken English.
