About the Role
We operate a portfolio of branded gas stations and convenience stores across California, USA. We are hiring a remote back office operator to handle daily financial reconciliation, invoice entry, and operational bookkeeping through our web-based back office system.
This is a permanent, long-term position — not freelance or project-based. Full training is provided, including video tutorials, reference documentation, and a supervised onboarding period. No prior gas station experience is required.

Daily Responsibilities & Time Estimates
Cash Reconciliation (45–60 min/day)
Open the daily book for each store location, verify fuel and store sales data, update the cash deposit amount to match scanned close-of-shift reports, review fuel inventory readings, confirm lottery figures, flag any cash variance outside tolerance, and lock/approve the business day.
Invoice Entry (30–60 min/day)
Enter non-fuel vendor invoices from scanned documents into the system. Match line items, verify each invoice balances to zero, and set up any new products. Review and approve electronically received fuel invoices.
Lottery Management (15–20 min/day)
Input daily scratch ticket inventory counts from scanned lottery slips. Create new ticket book records and process returns as needed.
Price Book Maintenance (10–15 min/day)
Review headquarters price notifications and accept, reject, or flag for owner review. Publish all pending price changes to the point-of-sale system.
Reporting & Administrative (30–60 min/day)
Generate and schedule reports, export data for our accountant, maintain vendor records, process inventory audits after data syncs, and handle ad-hoc requests.
Daily Summary (5–10 min/day)
Post a brief end-of-day update for each store via WhatsApp; cash variance, invoices entered, and any items requiring owner attention.
Total estimated daily workload: 3–4 hours per store. You will start with one location, with additional stores added as you demonstrate proficiency. Remaining hours will be used for reporting, data cleanup, and operational support tasks.

Requirements
No specific degree or certification is needed. If you have experience in bookkeeping, accounting, data entry, BPO, or retail back-office operations, that is helpful. What matters most is attention to detail, reliability, and the ability to follow documented procedures precisely.
