Job Title: ABA Clinic Administrative Assistant

Job Overview
We are seeking a highly organized and proactive Remote Administrative Coordinator to support daily operations for a growing U.S.-based healthcare/ABA practice. This role requires strong follow-up skills, attention to detail, and the ability to manage multiple administrative workflows efficiently.
Key Responsibilities
Client & Parent Coordination
Follow up with parents regarding appointments, documentation, and updates
Track intake packets, registration forms, and consent forms
Ensure all required paperwork is completed accurately and on timeStaff Coordination &
Scheduling
Schedule clients, RBTs, and assessments
Follow up with staff on pending tasks and updates
Assist in coordinating day-to-day operations
Onboarding & HR Support
Support hiring processes and new hire onboarding
Track offer letters, handbook acknowledgments, IDs, certifications, and background checks
Assist with payroll onboarding and orientation tracking
Documentation & Systems Management
Maintain organized client and staff files
Update spreadsheets, trackers, and internal dashboards
Manage workflows within Passage Health
Administrative Support
Perform daily administrative tasks and coordination
Follow up with parents, staff, and vendors on pending items
Provide regular updates on completed, pending, and urgent tasks
Requirements
1–3+ years of administrative or coordination experience
Strong English communication skills (written & verbal)
Excellent follow-up and organizational skills
Ability to work in U.S. time zones (EST)
Proficiency in Excel/Google Sheets and admin tools
Salary
$500 – $600 USD per month (based on experience and skill level)
