EmerDepot Medical Supplies | Remote Position | Full-Time Contract
EmerDepot Medical Supplies is a fast-growing Canadian healthcare and ecommerce supplier serving hospitals, clinics, home-care patients, retail customers, and institutional clients across Ontario and Canada.
We are looking for a detail-oriented Remote Finance & Retail Operations Controller to support our accounting, ecommerce, retail, billing, and operational control processes.
This is not only an accounting role. This position requires someone who can understand medical retail operations, ecommerce orders, insurance/funding billing, supplier invoices, inventory movement, customer billing issues, and financial reporting.

Key ResponsibilitiesAccounting & Financial Control
Manage daily bookkeeping, reconciliations, and accounting records
Reconcile bank, credit card, Shopify, Odoo, payment gateway, and vendor accounts
Review supplier invoices, purchase orders, bills, credits, and payment records
Identify pricing mismatches, tax issues, missing invoices, and supplier billing errors
Prepare financial reports, margin reports, sales reports, and expense summaries
Support month-end closing, accounts payable, accounts receivable, and cash flow tracking
Maintain clean accounting records for management review and future audits
Ecommerce & Retail Operations Control
Monitor Shopify, Odoo, and ecommerce order flow
Review customer orders, refunds, returns, restocking fees, and payment issues
Check order accuracy, product pricing, tax, shipping charges, and discounts
Support retail staff with order corrections, billing questions, and customer account issues
Track backorders, partial shipments, supplier delays, and customer follow-ups
Help create internal controls so retail, warehouse, and accounting teams follow the same process
Medical Billing & Funding Support
Support documentation and reconciliation for healthcare-related billing
Assist with ODSP, ADP, IFHP, Veterans Affairs, private insurance, and direct billing workflows
Review claim/payment records and identify missing documents or payment gaps
Coordinate with retail staff to ensure customer files, prescriptions, approvals, and funding documents are complete
Help reduce billing errors and improve approval/payment turnaround time
Inventory, Supplier & Margin Control
Reconcile purchase orders against supplier invoices
Track inventory cost changes, landed costs, supplier price increases, and margin impact
Identify slow-moving inventory, short-shipped items, credits, and returns to vendors
Support inventory valuation checks between Shopify, Odoo, and supplier records
Prepare reports on product profitability, high-volume SKUs, and pricing issues
Reporting & Management Support
Prepare weekly management reports covering:
Sales performance
Gross margin
Accounts receivable
Accounts payable
Supplier invoice issues
Backorders
Refunds and returns
Retail billing issues
Cash flow position
Inventory concerns
Create clear summaries for management so decisions can be made quickly and accurately.
Required Experience
Experience in accounting, audit, finance, or controller support role
Strong reconciliation and reporting skills
Experience with ecommerce, retail, healthcare, or medical supply business preferred
Strong Microsoft Excel or Google Sheets skills
Experience with ERP/accounting systems such as Odoo, QuickBooks, Zoho, Xero, or similar
Ability to work remotely with accuracy and accountability
Understanding of customer billing, supplier invoices, purchase orders, and payment records
Strong attention to detail and ability to detect errors quickly
Preferred Experience
Healthcare, medical supply, pharmacy, clinic, hospital, or RCM billing experience
Knowledge of ODSP, ADP, IFHP, Veterans Affairs, private insurance, or direct billing
Experience reviewing claims, reimbursements, disallowances, or payment settlements
Experience with Shopify and Odoo
Audit background or ACCA / CPA / accounting education preferred
Experience preparing financial statements, KPI reports, and management summaries
