Job Description – Payroll Executive / Payroll Specialist

Position Overview

We are looking for a detail-oriented and experienced Payroll Executive who can efficiently handle payroll operations for 500+ employees across multiple outlets, cloud kitchens, and restaurant locations.

The candidate should have strong knowledge of payroll processing, attendance management, statutory compliance, salary structure, and employee coordination. The ideal candidate must be capable of managing payroll accurately within timelines while ensuring compliance with company policies and labor laws.

Key ResponsibilitiesPayroll Management

• Process monthly payroll for 500+ employees accurately and within timelines.
• Verify attendance, shifts, overtime, incentives, weekly offs, and leave records.
• Ensure accurate salary calculations, deductions, reimbursements, and final settlements.
• Prepare salary sheets, payroll reports, and MIS reports.

Attendance & Leave Management

• Coordinate with outlet managers for attendance and manpower data.
• Monitor biometric attendance and shift records.
• Handle leave management and payroll-related adjustments.

Statutory Compliance

• Manage PF, ESI, PT, TDS, and other statutory deductions.
• Ensure compliance with labor laws and payroll regulations.
• Coordinate with finance and auditors for payroll documentation.

Employee Coordination

• Resolve employee payroll queries and salary-related concerns.
• Support employees regarding payslips, salary structure, deductions, and benefits.
• Maintain confidentiality of payroll and employee data.

Documentation & Reporting

• Maintain payroll records, employee salary data, and compliance documents.
• Generate monthly payroll MIS and headcount reports.
• Support HR audits and documentation processes.

Full & Final Settlement

• Process exit formalities and full & final settlements.
• Ensure proper recovery and clearance processes.

Required Skills

• Strong knowledge of payroll processing and salary structure.
• Experience handling payroll for 500+ employees.
• Good knowledge of PF, ESI, PT, TDS, and labor compliance.
• Strong Excel skills (VLOOKUP, Pivot Table, MIS Reporting).
• Attention to detail and accuracy.
• Good communication and coordination skills.
• Ability to work under deadlines and pressure.

Preferred Candidate Profile

• Experience in QSR, Restaurant, Hospitality, Retail, or Cloud Kitchen industry preferred.
• Hands-on experience with payroll software and HRMS systems.
• Strong understanding of attendance and shift-based payroll.
• Ability to manage multi-location payroll operations.

Qualification

• Bachelor’s Degree in Commerce, HR, Finance, or related field.
• Payroll certification is an added advantage.

Experience

• 3 to 6 years of payroll experience.
• Minimum experience handling 500+ employee payroll.
