Virtual Executive Assistant for CEO
Job Overview:
We are seeking a highly organized, detail-oriented, and proactive Virtual Executive Assistant ( Canadian Firm) to provide remote administrative, operational, invoicing, and bookkeeping support to a busy sole practitioner accountant.
This role requires strong communication skills, discretion with confidential information, and the ability to manage multiple priorities efficiently.
Key Responsibilities:
Daily / Morning Operations:
● Draft and prepare client invoices accurately and promptly
● Send invoices and follow up on outstanding payments
● Track and manage accounts receivable, including collections
● Provide concise daily summaries of priority tasks, client updates, and administrative needs
● Support marketing initiatives (newsletter preparation, social media coordination, light research)
Administrative & Accounting Support:
● Manage calendars, scheduling, and virtual meetings
● Organize and maintain email inboxes and digital filing systems
● Prepare internal reports and format communications (memos, emails, reports)
● Update and maintain client communication logs and working papers
● Prepare and organize working papers for tax returns and tax planning files
● Perform bookkeeping tasks
● Assist with light personal administrative coordination (mail/courier arrangements – remote only)
● Provide additional virtual accounting or administrative support as needed
Qualifications & Skills:
● High level of professionalism and reliability
● Ability to handle confidential information with discretion
● Proficiency in Microsoft Office 365 and Google Workspace
● Strong attention to detail and accuracy
● Excellent written and interpersonal communication skills
Preferred:
● Experience in accounting, bookkeeping, invoicing, or administrative roles
● Background in client service operations
● Familiarity with marketing coordination or digital communications
Pay: ₹30,000.00 – ₹80,000.00 per month
