The Role

We are looking for a SharePoint Architect to design and implement BOS’s enterprise information management strategy on Microsoft 365. You will architect a unified, governed, and AI-ready knowledge platform spanning four core pillars: controlled product documentation, ISO-aligned quality documentation, company-wide template management, and the BOS IT University upskilling platform. This is a greenfield engagement — you will design the platform from the ground up, with no legacy to untangle, working directly with the Head of IT to shape how BOS captures, governs, and surfaces knowledge for the next decade.

Key Responsibilities

• Enterprise Information Architecture: Design BOS’s SharePoint Online architecture as a coherent information management ecosystem — hub sites, communication sites, document libraries, content types, managed metadata, and term store taxonomies that span all knowledge domains.
• Controlled Product Documentation: Architect the SharePoint structure for final product manuals — version control, multi-language variants, customer-release lifecycle, approval workflows, and access models for both internal stakeholders and external customer distribution.
• Controlled Documentation for ISO-Aligned Quality Management: Implement SharePoint document control patterns aligned with ISO 9001 principles — controlled versioning, approval workflows, audit-friendly metadata, retention policies, and review cycles. The platform must support our quality management processes; formal audit defense is handled separately.
• Company-Wide Template Management: Design a centralized template library for Word, PowerPoint, and Excel documents — branded, governed, and surfaced natively in M365 apps so employees use the right templates by default.
• BOS IT University (Upskilling Platform): Design the Communication Site for our internal AI-powered learning platform, with Microsoft Stream integration (chapters, transcripts, timestamps), multilingual content support (DE/EN/ES), audience targeting (Admin / End User), and learning path structures.
• AI-Ready Information Architecture: Across all four pillars, architect the platform so AI agents and Microsoft Copilot can efficiently retrieve, cite, and deep-link into content. This includes structured metadata, transcripts, semantic taxonomies, and search optimization that maximizes AI accuracy — not just human navigation.
• Permissions, Governance & External Sharing: Design the security model spanning internal-only content, externally distributed product documentation, and the planned future customer-facing upskilling site with B2B guest access (Entra External ID). Define audience targeting, conditional access, and entitlement gating.
• Knowledge Transfer & Documentation: Document the architecture comprehensively and train BOS internal staff to take over ongoing administration after handover. Leave behind a platform our team can extend confidently.

Your Profile

• SharePoint Architect (Senior): 5+ years architecting SharePoint Online at enterprise scale — multi-site, multi-domain information ecosystems, not single-site implementations. Portfolio of comparable engagements required.
• Document Control Practitioner: Hands-on experience implementing controlled document management in SharePoint — versioning, approval workflows, retention, mandatory metadata. Familiarity with ISO 9001-style document control patterns is required; deep compliance specialization is not.
• Information Management Specialist: Expert in content types, managed metadata, term store, retention labels, sensitivity labels, and audience targeting. You understand the difference between “files in folders” and structured, governed enterprise knowledge.
• Microsoft Stream & Video Platforms: Practical experience with Microsoft Stream (on SharePoint): channels, chapters, transcripts, and metadata at scale. You have built video-heavy learning or knowledge portals before.
• AI-Aware Practitioner: You understand how AI retrieval systems (Microsoft Copilot, semantic search, custom RAG agents) consume SharePoint metadata and content. You can design information architecture that maximizes AI accuracy — not just human navigation.
• B2B & External Sharing Veteran: You have implemented Entra External ID or B2B guest access models for SharePoint sites serving paying external customers — including entitlement gating and conditional access. (Screening criterion — please reference a specific implementation in your application.)
