Job Title: Strategic Personal Assistant to CEO
Job Overview:
We are seeking a highly organized, proactive, and detail-oriented Strategic Personal Assistant to work directly with the Founder & CEO of Ecavo Agro Daily Private Limited – a fast-growing FMCG staples & spices brand based in Prayagraj. This is not a routine PA role. You will function as a hybrid Strategic Assistant, Executive Coordinator, Travel Operations Manager, and Personal Logistics Manager. You will be the right hand of the CEO, staying five steps ahead, preventing last-minute chaos, and ensuring nothing falls through the cracks. This role is integral to the success of Ecavo and offers a front-row seat to a 100x-scale founder’s journey.
Key Responsibilities:
1. Calendar & Schedule Management: Manage the CEO’s daily calendar – meetings, calls, office visits, travel, meals, and buffers. Prevent conflicts and track all important events.
2. Travel Operations: Plan and execute domestic and international travel end-to-end – flights, hotels, airport transfers, visas, lounges, itineraries, recovery buffers, and positioning flights. Manage Marriott preferences, business class bookings, and luxury-first routing.
3. Wardrobe, Packing & Lifestyle Support: Coordinate outfit planning, packing checklists, event readiness, laundry, grooming, watch and shoe coordination. Follow the 72h / 48h / 24h pre-travel SOP.
4. Personal & Health Support: Handle medication, meal, gym, and sleep reminders. Coordinate deliveries, gift arrangements, restaurant reservations, family scheduling, and event planning.
5. Correspondence & Communication: Screen, prioritize, and respond to WhatsApp messages, emails, and calls. Draft messages on the CEO’s behalf and ensure timely follow-ups.
6. Meeting Coordination: Coordinate and facilitate meetings, prepare agendas, take detailed minutes, and follow up on action items with internal teams and vendors.
7. Cross-Departmental Coordination: Act as the central coordination point between the CEO, HR, Admin, Accounts, Sales, vendors, hotels, partners, and family.
8. Research & Information Gathering: Conduct vendor comparisons, hotel comparisons, market research, and provide concise summaries to assist the CEO in decision-making.
9. Document & Presentation Preparation: Prepare reports, presentations, and briefing documents so the CEO is fully prepared for meetings and engagements.
10. Confidentiality & Discretion: Maintain the highest level of confidentiality in handling sensitive business and personal information.
11. General Administration: Handle expense reports, invoice follow-ups, payment reminders, file management, and office supply coordination.
Qualifications & Requirements:
– 2+ years of experience as a Personal Assistant, Executive Assistant, Founder’s Office Associate, or Chief of Staff supporting senior leadership.
– Strong organizational, time management, and multitasking skills.
– Excellent written and verbal communication in both English and Hindi.
– Proficiency in Google Workspace (Calendar, Gmail, Sheets, Drive), MS Office, and WhatsApp coordination.
– Comfortable using AI tools such as ChatGPT and Perplexity for research and drafting.
– Calm, structured, emotionally stable, mature, and reliable under pressure.
– Ability to handle sensitive information with discretion and professionalism.
– Bachelor’s degree or equivalent qualification preferred.
Preferred Background:
– Experience in hospitality, travel coordination, founder’s office, or D2C/FMCG support.
– Exposure to Marriott Bonvoy or premium travel booking systems.
– Familiarity with HRMS tools like Keka.
