Job Summary
The GeM Specialist will be responsible for managing all activities related to the Government e-Marketplace (GeM) portal for medical devices. This includes product listing, tender management, bid submissions, catalog management, compliance, vendor coordination, and execution of government orders.
Key Responsibilities
1. GeM Portal Management
Create, update, and manage product listings on the GeM portal.
Ensure accuracy of product specifications, pricing, and compliance documents (CE, ISO, FDA, CDSCO, etc.).
Maintain catalog hygiene in line with GeM guidelines.
2. Tender & Bid Management
Monitor the GeM portal for relevant bidding opportunities.
Analyze bid requirements and eligibility criteria.
Prepare and submit technical and financial bids (BOQ).
Track bid status and ensure timely participation.
3. Order Processing & Coordination
Manage order acceptance and coordinate with internal teams.
Ensure timely dispatch and fulfillment of orders.
Monitor delivery timelines and customer acceptance.
4. Documentation & Compliance
Maintain compliance documents, certifications, and declarations.
Ensure adherence to GeM policies for OEM/reseller authorization and category mapping.
Handle product approvals and mapping issues.
5. Pricing & Negotiation Support
Assist in setting competitive pricing strategies.
Participate in reverse auctions and online negotiations.
Monitor competitor pricing trends.
6. Payment Follow-up
Track invoice acceptance, CRAC generation, and PFMS payments.
Coordinate with finance for timely reconciliation.
7. Vendor Assessment & Management
Identify and evaluate vendors/suppliers for product sourcing and fulfillment.
Conduct vendor due diligence including verification of certifications, quality standards, and compliance with regulatory requirements.
Maintain vendor database and performance records.
Monitor vendor performance based on delivery timelines, product quality, and responsiveness.
Coordinate with vendors to ensure timely supply aligned with GeM orders.
Support onboarding of new vendors on GeM as per company requirements.
8. Customer & Internal Coordination
Liaise with government buyers and procurement departments.
Address queries related to product specifications, delivery, and documentation.
9. Reporting & Analysis
Prepare MIS reports on bids, orders, revenue, and cancellations.
Analyze tender outcomes and improve win ratios.
Maintain trackers and dashboards.
Required Skills & Competencies
Strong knowledge of GeM portal operations (mandatory).
Understanding of medical devices and regulatory compliance.
Vendor management and evaluation skills.
Excellent documentation, negotiation, and communication skills.
Ability to manage multiple bids and timelines.
Proficiency in MS Excel, MS Office, and tender platforms.
Educational Qualification
Bachelor’s degree in Science / Pharma / Medical Technology or related field (preferred).
2-5 years of experience in GeM operations, preferably in medical devices/healthcare.
Experience in vendor management is an added advantage.
GeM certification preferred.
