Overview

This is a full-time, in-office role based in Nagpur, India, supporting the global finance function of Trademarkia (LegalForce RAPC Worldwide, P.C.) and its affiliated businesses. The role exists to bring the firm’s books into a clean, complete, and audit-ready state and to keep them that way. It pairs hands-on, detail-intensive accounting work with direct accountability to leadership.

The core of the position is disciplined reconciliation: matching every transaction on the firm’s bank and credit-card statements to supporting receipts and invoices, recording that activity accurately in QuickBooks, and preparing organized, defensible financial packages for review by the firm’s outside U.S. CPA.

Immediate Priority

In the immediate term, the firm’s need is a specialist who can:

• Reconcile 2025 expenses in detail against actual receipts and invoices wherever possible, so the firm can properly close its 2025 books.
• Input reconciled activity into QuickBooks accurately and completely, working from banking and credit-card account statements with care and full documentation.
• Prepare a clean CPA package so that complete, categorized, reconciled financials can be handed to the firm’s outside U.S. CPA for the 2025 tax filing and review.
• Organize 2025 R&D tax credit information — assembling and structuring the supporting documentation needed to substantiate the firm’s 2025 R&D tax credit claim.

Core Responsibilities

• Statement-to-Source Reconciliation: Reconcile every bank, credit-card, Wise/TransferWise, Stripe, IOLTA, and line-of-credit account to statement, matching each transaction to its receipt or invoice and flagging items that lack support.
• QuickBooks Entry & Categorization: Record vendor and foreign-associate invoices on receipt, categorize transactions correctly within the chart of accounts, and maintain accrual-basis accounting with no open prior periods at month-end.
• 2025 Close & CPA Readiness: Restructure 2025 records in QuickBooks so all transactions are complete, categorized, and reconciled — producing a tax-ready package for the outside U.S. CPA.
• R&D Tax Credit Documentation: Gather, organize, and substantiate the 2025 expense and activity records needed to support the firm’s R&D tax credit submission.
• Anomaly Identification: Identify and escalate transactions lacking authorization, supporting documentation, or required approval — unusual vendor payments, out-of-policy purchases, overpayments, and miscategorized or double-counted entries.
• Documentation & Audit Trail: Maintain clear, organized records and audit trails so every reconciled figure is traceable and defensible.

Minimum Qualifications

• Education: Bachelor’s degree in Accounting, Finance, Commerce, Economics, or a related field. (CA Inter / CA / CMA / MBA-Finance a plus.)
• QuickBooks Proficiency: Hands-on experience with QuickBooks — chart of accounts, journal entries, accrual-basis accounting, month-end close, and reconciliation. Familiarity with bank/credit-card feeds and transaction-matching is strongly preferred.
• Reconciliation Experience: Demonstrated experience reconciling bank and credit-card statements to source documents with a high degree of accuracy.
• U.S. GAAP / U.S. Tax Exposure: Prior experience supporting U.S.-based books or working with a U.S. CPA is a strong advantage.
• Spreadsheet Proficiency: Strong Excel or Google Sheets skills, including data manipulation and basic financial analysis.
• Attention to Detail: Proven ability to catch discrepancies, unrecorded liabilities, and miscategorized entries that others miss — small errors here become six-figure misstatements.
• Integrity & Confidentiality: Sound ethical judgment, fiduciary discretion, and the independence to flag problems regardless of who is implicated.
• Communication: Clear written and verbal English; able to present reconciliation findings to leadership and the outside CPA.
• Location: Able to work in person in Nagpur, India.

Compensation:

₹5,00,000 to ₹8,00,000 per annum, depending on qualifications, experience, and certifications (CA / CMA / QuickBooks proficiency), plus growth opportunities after one year.
