The Proxy Operations Associate plays a critical role in ensuring the accuracy and integrity of data within our proxy operations team. This position is responsible for inputting, verifying, and managing data related to proxy voting activities. The ideal candidate will possess keen attention to detail, a high level of organizational skill, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities

• Accurately input proxy events and voting data into relevant systems and databases.
• Verify and reconcile data to ensure completeness and correctness.
• Assist with the organization and maintenance of proxy records and documentation.
• Follow established protocols and procedures for handling confidential information.
• Collaborate with internal teams to resolve data discrepancies or issues.
• Maintain up-to-date knowledge of proxy operations processes and compliance requirements.

Required Qualifications

• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
• Strong attention to detail and accuracy in data input.
• Excellent organizational and time management skills.
• Ability to work independently as well as part of a team.
• Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and data management systems. VBA skills is a plus.
• Strong communication skills, both written and verbal.
• Ability to handle confidential information with discretion.

Preferred Skills

• Experience in financial services, broker or banking operations support, including SWIFT messaging experience.
• Familiarity with proxy voting and compliance processes.
• Analytical mindset with an aptitude for problem-solving.

Work Environment

The Proxy Operations Associate will work in a collaborative office setting, interacting with team members and other departments to ensure the smooth execution of proxy operations. Occasional overtime may be required during peak periods.
