We are seeking a meticulous and reliable Scanning Operator (SCO) to join our document management team. In this critical role, you will be responsible for converting physical documents into high-quality digital formats, ensuring the integrity, security, and organization of vital company records. The ideal candidate is detail-oriented, proficient with scanning technology, and committed to maintaining high standards of accuracy and productivity in a fast-paced environment.
Key Responsibilities & Duties
As a Scanning Operator, your primary duty is to manage the end-to-end document digitization process. You will be accountable for the following core functions:
Document Preparation & Processing
Prepare physical documents for scanning by removing staples, paper clips, and other fasteners.
Organize and batch documents according to established project guidelines and indexing protocols.
Operate high-volume document scanners, flatbed scanners, and other imaging equipment efficiently.
Monitor scanning jobs to ensure all pages are captured correctly and are free from defects like skewing, shadows, or blurriness.
Quality Control & Assurance
Perform rigorous quality checks on scanned images to verify clarity, completeness, and correct page order.
Utilize optical character recognition (OCR) software to create searchable PDFs when required.
Identify and rescan any documents that do not meet our stringent quality standards.
Maintain detailed logs of scanning activities, including volumes processed and any issues encountered
Accurately name, index, and upload digital files to the appropriate network directories or document management systems (DMS).
Equipment Maintenance
Perform basic preventative maintenance on scanning equipment, such as cleaning glass surfaces and replacing consumables (e.g., rollers, separation pads).
Report any equipment malfunctions or technical issues to the supervisor promptly.
Maintain a clean, organized, and safe workstation.
Qualifications & Requirements
To be successful in this role, candidates must meet the following criteria:
Education & Experience
10th High school diploma or equivalent (GED) is required.
fresher in a document scanning, records management, or similar clerical/administrative role.
Essential Skills & Competencies
Technical Proficiency: Strong ability to operate and troubleshoot standard office scanning hardware and software.
Extreme Attention to Detail: Keen eye for spotting imperfections and ensuring 100% accuracy in digital outputs.
Organizational Skills: Excellent ability to sort, batch, and manage large volumes of paperwork systematically.
Time Management: Capable of working efficiently to meet daily production targets and deadlines without compromising quality.
Preferred Qualification
Knowledge of records retention schedules and compliance standards.
Work Conditions & Physical Demands
This is a full-time position, typically operating during standard business hours.
The role is primarily performed in an office environment, requiring prolonged periods of standing or sitting at a workstation.
Must be able to lift and move document boxes weighing up to 25 pounds.
Repetitive hand and wrist motions are involved in handling paper and operating equipment.
