Export Documentation Executive Full Time

Job Description

The Export Documentation Executive is responsible for preparing and managing all export documentation related to freight forwarding shipments. The role involves close coordination with shippers, consignees, airlines/shipping lines, and customs brokers to ensure timely and compliant movement of cargo.

Key Responsibilities

• Prepare and process export documents including House Bill of Lading (HBL), Master Bill of Lading (MBL), commercial invoices, packing lists, shipping instructions, and certificates of origin.
• Coordinate with shipping lines, airlines, and overseas agents for booking shipments and documentation requirements.
• Ensure accuracy and compliance with international shipping regulations, customs requirements, and client-specific instructions.
• Handle documentation for FCL, LCL, and air freight shipments.
• Submit Shipping Bills and coordinate with customs clearance teams.
• Verify Letter of Credit (LC) terms (if applicable) and ensure documentation complies with banking requirements.
• Track shipments and provide timely updates to customers and internal teams.
• Resolve discrepancies in documentation and handle customer queries.
• Maintain proper records and filing of all export documents.
• Coordinate with transporters, warehouses, and CHA (Custom House Agents) for smooth cargo movement.

Required Skills & Qualifications

• Bachelor’s degree in Commerce, Logistics, Supply Chain, or related field.
• 2–5 years of experience in export documentation within a freight forwarding or logistics company.
• Strong knowledge of shipping documentation, Incoterms, and customs procedures.
• Experience handling ocean and/or air export shipments.
• Familiarity with ICEGATE, DGFT procedures, and EDI systems.
• Good communication and coordination skills.
• Proficiency in MS Office and freight forwarding software/ERP systems.

Preferred Qualifications

• Experience working with international agents and global freight networks.
• Knowledge of hazardous cargo (DG cargo) documentation (if applicable).
