Admin — Operations & Data | [Fight the Sunrise]

About the Role
You’ll sit at the heart of our operations. Your job isn’t just to “do admin related work”—it’s to keep our company’s data clean, our reports accurate, and our team informed. We run home-based workout plans, which means we deal with a lot of moving pieces: client progress, subscription status, coach schedules, and payment tracking.
You’re not a salesperson. You’re not a coach. You’re the person who ensures the data behind those relationships is real, usable, and up to date. When the leadership team asks, “How many clients are active this month?” or “What’s our retention rate for Program X?”, you should have the answer ready in minutes, not days.
This role lives or dies on two things: accuracy of data and speed of reporting.
Key Responsibilities
• Manage and maintain our client database (CRMs, spreadsheets, or internal tools) — ensuring intake forms, progress logs, and subscription details are 100% accurate
• Generate weekly and monthly reports for leadership: active client counts, renewal rates, revenue summaries, and coach utilization stats
• Create clear, visual dashboards that turn raw numbers into insights the team can actually use (e.g., “Clients who log 3+ workouts/week have 40% higher retention”)
• Handle billing admin: track payments, flag overdue subscriptions, and assist with invoicing or reconciliation
• Coordinate scheduling logistics between clients and coaches — manage Reschedules, cancellations, and calendar conflicts without dropping the ball
• Build and maintain a simple “data library” organized by program, client segment, and status
• Spot data anomalies early — if a coach’s attendance numbers suddenly drop or a batch of clients isn’t logging workouts, you should be the first to notice and flag it
• Work with the team to build faster reporting systems — if a report takes 2 hours every week, you should find a way to cut it to 30 minutes
Requirements
• Comfort with data fundamentals — you don’t need to be a data scientist, but you need to read a spreadsheet, understand formulas, and know what a pivot table is
• Experience managing records at volume — client data, subscription logs, or operational databases
• Ability to work independently without constant supervision — you’ll be tracking multiple tasks across different systems, and you need a system, not just memory
• Strong organizational skills — if you lose a file or mix up a client status, it affects the business. You need to be meticulous
• Comfort with feedback loops — you’ll get questions like “Where did this number come from?” regularly, and you need to treat that as a chance to clarify, not a sign you’re failing
• Good eye for what’s clean vs. messy — even if the data isn’t perfect, you should be able to spot when something looks wrong
• Based in Pune/Maharashtra or willing to be — this role may require occasional in-person coordination with the team
Preferred
• Prior experience in a D2C, fitness, wellness, or subscription-based brand
• Familiarity with tools like HubSpot, Zoho, Airtable, or Google Sheets for tracking
• Experience working with fitness coaches or remote teams who have different priorities
• Basic visualization skills — enough to make a simple chart or bar graph in Excel/Sheets
• Exposure to Notion, Trello, or similar for task tracking and pipeline management
What success looks like in the first 90 days
• You’re consistently delivering weekly/monthly reports on schedule with zero data errors
• The leadership team considers you a partner, not a bottleneck — they trust your numbers immediately
• You’ve built a repeatable weekly workflow: data pull → clean → analyze → report → share
• You can point to at least 2–3 reports or dashboards you created that helped the team make a decision
• Coaches and the ops team know what’s expected of them and when, because you’ve built that rhythm
