Role Description
As an Executive Assistant to the COO, you will act as a strategic partner, ensuring smooth day-to-day operations, effective communication, and timely execution of key initiatives.
This is a full-time, on-site role based in Surat for an Executive Assistant to the COO in the healthcare sector. The Executive Assistant will be responsible for managing calendars, scheduling meetings, preparing reports, drafting correspondence, handling expense reports, and providing comprehensive executive support. The role also encompasses administrative assistance duties such as document management, coordination of tasks, and ensuring smooth daily operations to support executive goals.
Key Responsibilities
Manage COO’s calendar, meetings, and travel schedules
Coordinate with internal teams and external stakeholders
Prepare reports, presentations, and MIS dashboards
Track key projects and ensure timely follow-ups
Handle confidential information with professionalism
Assist in decision-making by providing data and insights
Requirements
Proven experience as an Executive Assistant / Personal Assistant (preferably to senior leadership)
Strong communication and coordination skills
Excellent time management and multitasking abilities
Proficiency in MS Office (Excel, PowerPoint, Word)
High level of discretion and professionalism
Qualifications
Proficiency in Executive Administrative Assistance and providing direct Executive Support
Ability to manage Expense Reports and ensure accuracy in financial documentation
Strong Communication skills to coordinate across teams and handle correspondence effectively
Expertise in Administrative Assistance, including calendar management, scheduling, and task coordination
Excellent organizational and time-management skills
Ability to work independently and prioritize tasks in a fast-paced environment
High level of discretion and confidentiality
Bachelor’s degree in Business Administration, Management, or related field is preferred
Experience in the healthcare sector or similar industries is an advantage
