Job Description
The Export Documentation Executive is responsible for preparing and managing all export documentation related to freight forwarding shipments. The role involves close coordination with shippers, consignees, airlines/shipping lines, and customs brokers to ensure timely and compliant movement of cargo.
Key Responsibilities
- Prepare and process export documents including House Bill of Lading (HBL), Master Bill of Lading (MBL), commercial invoices, packing lists, shipping instructions, and certificates of origin.
- Coordinate with shipping lines, airlines, and overseas agents for booking shipments and documentation requirements.
- Ensure accuracy and compliance with international shipping regulations, customs requirements, and client-specific instructions.
- Handle documentation for FCL, LCL, and air freight shipments.
- Submit Shipping Bills and coordinate with customs clearance teams.
- Verify Letter of Credit (LC) terms (if applicable) and ensure documentation complies with banking requirements.
- Track shipments and provide timely updates to customers and internal teams.
- Resolve discrepancies in documentation and handle customer queries.
- Maintain proper records and filing of all export documents.
- Coordinate with transporters, warehouses, and CHA (Custom House Agents) for smooth cargo movement.
Required Skills & Qualifications
- Bachelor’s degree in Commerce, Logistics, Supply Chain, or related field.
- 2–5 years of experience in export documentation within a freight forwarding or logistics company.
- Strong knowledge of shipping documentation, Incoterms, and customs procedures.
- Experience handling ocean and/or air export shipments.
- Familiarity with ICEGATE, DGFT procedures, and EDI systems.
- Good communication and coordination skills.
- Proficiency in MS Office and freight forwarding software/ERP systems.
Preferred Qualifications
- Experience working with international agents and global freight networks.
- Knowledge of hazardous cargo (DG cargo) documentation (if applicable).
