Key Responsibilities

Front Desk & Reception Management

• Manage daily front office and reception operations
• Greet parents, students, and visitors professionally
• Handle calls with proper etiquette and route appropriately
• Maintain visitor logs, issue passes, and follow security protocols
• Schedule appointments and coordinate meetings with management
• Ensure a clean, organized, and welcoming front office

Admissions & Student Services

• Coordinate the student admission process including document verification
• Prepare admission letters, ID cards, and admission records
• Provide accurate information on admissions and school programs
• Maintain admission databases and follow up on enquiries
• Coordinate admission tests and schedules with academic teams

Communication & Documentation

• Prepare and circulate official school notices and communications
• Manage incoming and outgoing correspondence
• Maintain systematic filing and documentation
• Create and update official letter and document templates
• Coordinate communication between departments and external stakeholders

Administrative & Operational Support

• Provide administrative support to school leadership
• Assist in organising meetings, events, and school programs
• Manage petty cash and basic financial records (as assigned)
• Coordinate with vendors, service providers, and contractors

Database & Staff Management

• Maintain accurate student and staff databases with confidentiality
• Generate reports and data for management review
• Supervise, train, and guide front office support staff
• Monitor staff performance and ensure professional conduct

Qualifications & Experience

• Bachelor’s degree in Business Administration, Office Management, or related field
• Diploma in Office Administration / Front Office Management (preferred)
• Minimum 1 year of experience in front office, reception, or administrative roles
• Experience in educational institutions or customer-facing environments preferred
