Job Summary / Role Overview

As an Operations & Administrative Assistant, you will act as a key support to the Operations Manager, ensuring the smooth running of daily logistics activities. This role requires strong organisational skills, excellent communication, and the ability to multitask in a high-growth start-up environment.

You will play a critical role in coordinating deliveries, supporting drivers, managing documentation, and assisting across operational and administrative functions to keep everything running efficiently.

Key Responsibilities

• Ensure all delivery orders are fulfilled on time and accurately documented
• Manage and verify Proof of Deliveries (PODs) to maintain operational accuracy
• Communicate with drivers to resolve issues and provide ongoing support
• Coordinate with customers to obtain required documentation and information
• Assist with general administrative duties, including finance-related support
• Maintain clear and organised records of operational activities
• Take detailed notes during operational updates and ensure follow-ups are completed
• Collaborate with cross-functional teams to improve processes and efficiency
• Adapt to ad hoc tasks in a fast-moving start-up environment

Required Qualifications / What We’re Looking For

• Strong communication skills with the ability to build rapport with drivers, customers, and internal teams
• Excellent multitasking and organisational abilities
• High attention to detail, particularly with documentation and tracking
• Ability to thrive in a fast-paced, evolving start-up environment
• Proactive mindset with a willingness to learn and take ownership
• Team-oriented approach with strong collaboration skills
• Experience in operations, administration, HR, recruitment, or people operations is advantageous

Preferred Skills / Nice to Have

• Familiarity with tools such as Intercom or similar communication platforms
• Basic proficiency in Excel or spreadsheet tools
• Experience working with ticketing or support systems
• Previous exposure to logistics, delivery, or marketplace platforms
• Strong note-taking and documentation skills

• SAST: 09:00 AM – 06:00 PM
