Role Overview

We are seeking a detail-oriented and disciplined Senior Associate – Finance & Accounts with a strong focus on construction project accounting and vendor reconciliation. The ideal candidate will play a critical role in ensuring accurate financial tracking, reconciliation, and reporting for large-scale capital projects and routine trust operations. Experience in the NGO sector or development-focused organizations will be highly valued.

Key Responsibilities

A. Construction & Project Accounting

• Maintain accurate ledgers and records for all civil and infrastructure works under execution.
• Book and track RA Bills (Running Account Bills) from civil contractors; coordinate with engineers for physical vs. financial progress alignment.
• Monitor contractor advances, retention amounts, and milestone-based payments.
• Reconcile capital expenditure and construction-in-progress balances with vendor statements and site reports.

B. Vendor & Balance Reconciliation

• Prepare and maintain vendor account summaries, flag mismatches, and follow up for clarifications.
• Perform monthly reconciliation of balances, ageing of payables, and support audit readiness with proper documentation.
• Ensure timely accounting of material purchases, labour payments, and AMC/vendor service bills.

C. Routine Accounting & Internal Controls

• Assist with regular journal entries, TDS calculations, GST input matching, and voucher preparation.
• Ensure correct classification of expenses into project, administrative, and program heads.
• Support monthly closing and generation of trial balances for internal review.

D. Documentation & Audit Support

• Maintain documentation trails for all contracts, vendor agreements, invoices, payment backups, and site measurement books (where applicable).
• Coordinate with statutory and internal auditors for required schedules and clarifications.

Qualifications & Skills

• Education: B.Com / M.Com / CA Inter or equivalent qualification in commerce or accounting.
• Experience: Minimum 2 years of hands-on experience in accounting, preferably with exposure to construction/infra sector or NGOs.
• Proficiency in Tally, MS Excel, and comfort with accounting systems/ERPs.
• Good understanding of basic tax laws (TDS, GST) and Indian NGO compliance frameworks (12A/80G/FCRA preferred).
• Strong focus on accuracy, reconciliation, and documentation discipline.
• A quick learner, team player, and problem solver with a commitment to timelines and process adherence.

Preferred Attributes

• Experience with construction billing systems, civil contractor coordination, or project finance is an advantage.
• Familiarity with fund-based accounting, donor reporting, or grant management.
• Strong interpersonal skills for coordination with vendors, engineers, and internal teams.
