About the Role:

We are looking for a highly organized and detail-oriented procurement executive to support and streamline end-to-end purchase coordination in the healthcare/medical supply chain. This role involves vendor coordination, purchase order tracking, invoice verification, and cross-functional collaboration with the accounts, warehouse, and procurement teams.

Key Responsibilities:

Purchase & Vendor Coordination:

• Coordinate with the procurement team to process purchase requirements and raise purchase orders (POs)
• Track purchase orders and ensure on-time delivery of medical supplies
• Follow up with vendors for dispatch status, documentation, and delivery schedules
• Maintain strong vendor relationships and ensure timely communication.
• Negotiate pricing, payment terms, and delivery timelines with vendors
• Build and maintain strong vendor relationships for long-term collaboration
• Identify new vendors and compare quotations to support cost-effective purchasing

Documentation & MIS Reporting:

• Maintain accurate records of POs, invoices, vendor documents, and GRNs
• Prepare and update MIS reports on order status, pending deliveries, and procurement data
• Ensure documentation is maintained for audit and compliance.

Invoice verification & reconciliation:

• Verify purchase invoices against POs and GRNs
• Coordinate with the Accounts team for invoice processing and payment follow-ups
• Assist in purchase and sales reconciliation.

Inventory & Internal Coordination:

• Coordinate with the Warehouse/Stores team for stock updates and inward entries
• Ensure seamless communication between Procurement, Accounts, and Inventory teams.

Qualifications and Experience:

• Bachelor’s Degree in Commerce or related field
• Minimum 1 year of experience in Medical / Healthcare procurement or supply chain
• Proficiency in MS Excel and ERP/accounting software
• Strong organizational and coordination skills
