Executive Assistant to CMD – Purchase Full Time NEW

The Executive Assistant to the CMD – Purchase provides high-level administrative, coordination, and strategic support to the CMD in all procurement and supply chain-related activities. The role involves managing schedules, coordinating with internal departments and vendors, monitoring purchase activities, preparing reports, ensuring timely follow-ups, and maintaining confidentiality in all business matters.

Key ResponsibilitiesExecutive Support

• Act as a liaison between the CMD and internal/external stakeholders.

Purchase & Procurement Coordination

• Coordinate with procurement, stores, finance, and operations teams regarding purchase requirements and status updates.
• Track purchase orders, vendor quotations, contracts, and delivery schedules.
• Monitor procurement KPIs and provide regular reports to the CMD.
• Ensure timely follow-up on pending approvals, vendor negotiations, and procurement activities.
• Assist in reviewing procurement proposals and vendor performance reports.

Reporting & Documentation

• Prepare MIS reports, procurement dashboards, and analytical summaries.
• Maintain confidential records, contracts, agreements, and purchase-related documentation.
• Draft professional correspondence, reports, and presentations for management review.
• Organize and maintain electronic and physical filing systems.

Stakeholder Management

• Coordinate with vendors, suppliers, consultants, and business partners on behalf of the CMD.
• Facilitate communication between departments to ensure smooth procurement operations.
• Support cross-functional projects and strategic initiatives assigned by the CMD.

Compliance & Process Monitoring

• Ensure adherence to company procurement policies and procedures.
• Monitor documentation compliance related to vendor onboarding, contracts, and purchase approvals
