Role Overview

The Secretary to Director serves as the primary point of contact and administrative backbone for the Director’s office. This role demands impeccable organizational skills, discretion, and the ability to manage multiple high-priority tasks in a fast-paced executive environment. The incumbent acts as a trusted liaison between the Director and internal/external stakeholders, ensuring seamless day-to-day operations of the leadership office.

Key Responsibilities

• Manage the Director’s calendar, meetings, and travel arrangements.
• Draft and handle official correspondence, letters, and emails on behalf of the Director.
• Prepare agendas, presentations, and meeting minutes.
• Act as the first point of contact for internal teams and external visitors.
• Maintain organized records and filing systems (physical and digital).
• Coordinate logistics for events, board meetings, and senior-level conferences.
• Follow up on action items and ensure timely communication across departments.
• Manage expense reports and office supply procurement for the Director’s office.

Qualifications & Skills

• Bachelor’s degree in Business Administration or a related field.
• 3-6 years of experience in a secretarial or executive assistant role.
• Proficient in MS Office (Word, Excel, PowerPoint, Outlook).
• Excellent verbal and written communication skills.
• High level of discretion, integrity, and attention to detail.
• Ability to multitask and work under pressure with minimal supervision.
• Strong interpersonal and coordination skills.
