Only raw materials enter Subko’s facilities: all of the coffee, bakehouse and cacao products are crafted from scratch, in house. From crop to cup, pod to bar, and farm to table. About the role:

The Events Operations Lead will be responsible for end-to-end execution of all Subko events, including private events, weddings, corporate engagements, festivals, pop-ups, and brand activations.This role requires a highly hands-on operator who will manage on-ground execution, production, logistics, and client coordination, while also supporting closure of inbound event inquiries.

The individual will act as the primary point of contact (POC) between the client and the organisation and will be responsible for ensuring smooth execution from initial inquiry to final payment closure. This is a field-intensive role requiring travel, flexibility, and strong real-time decision-making ability.

Roles & Responsibilities:

Operations:

• Own end-to-end execution of events, ensuring timelines, quality, and brand standards are met
• Manage on-ground operations, including setup, service flow, breakdown, and post-event closure
• Plan and coordinate event production and logistics, including equipment, staffing, vendor management, and transportation
• Travel to event locations and take full ownership of on-site execution and problem-solving
• Lead and manage event teams, freelancers, and vendors during execution
• Handle and respond to inbound event inquiries, understanding client requirements and supporting closure of opportunities
• Act as the primary point of contact (POC) for clients throughout the event lifecycle
• Ensure clear communication of timelines, deliverables, and expectations between clients and internal teams

Finance:

• Own the P&L for each event that takes place including budgeting and execution
• Coordinate with the Finance team to ensure timely and accurate invoice generation
• Payment follow-ups and collections, ensuring revenue is realized on time

Cross Team and Admin:

• Work with internal teams (Design, Production, Supply Chain, Café Ops) to ensure operational readiness and alignment
• Maintain and improve event SOPs, checklists, and execution processes
• Conduct post-event reviews to improve efficiency and quality of execution

Required Skills:

• 4–8 years of experience in event operations, hospitality, experiential marketing, or production roles
• Proven experience managing end-to-end event execution (corporate events, weddings, festivals, or brand activations)
• Strong ability to handle on-ground operations and high-pressure environments
• Excellent client management and communication skills
• Experience working with vendors, logistics, and cross-functional teams
• Basic understanding of commercial processes such as invoicing and collections
• High ownership mindset with strong problem-solving and decision-making ability
• Willingness to travel extensively and work flexible hours based on event schedules
• Detail-oriented with a strong focus on execution quality and brand experience
