Executive Assistant to the Chief AI Officer Full Time

This isn’t a traditional EA role. It’s a front-row seat to how AI strategy gets built — and a launchpad into Strategy, Product, or Chief of Staff roles.

You’ll work directly with the Chief AI Officer, shadowing decisions that shape an enterprise AI platform, meeting the investors and researchers building the frontier, and quietly running the operational machinery that lets a C-suite leader move fast. What you’ll actually do

Run the calendar, run the inbox. Own the CAIO’s time. Screen email and LinkedIn, draft responses, keep the follow-ups tight. Nothing important falls through.

Be the relationship memory. Build and maintain a CRM of every meaningful contact — what was discussed, what was promised, what’s next. When the CAIO travels to a city, you’ve already flagged the three people worth reconnecting with.

Engineer the travel. Itineraries, visas, logistics, the lot — planned well in advance and stitched together with networking opportunities so no trip is wasted.

Sit in the room. Attend routine internal meetings, vendor screening calls, and operational reviews on the CAIO’s behalf. Write the summary, track the actions, close the loop.

Brief before every meeting. Research the company, the person, the context. The CAIO should walk in already knowing what matters.

Coordinate events and stakeholders. Internal workshops, team offsites, external partner sessions — your fingerprints are on the execution, not the chaos.

Get the strategic exposure. Shadow the CAIO in strategy sessions. Contribute to AI presentations and white papers. Sit in on M&A conversations, partnership negotiations, and product strategy. Run market scans and competitive analyses that actually inform decisions.

Who we’re looking for

• Bachelor’s degree required. MBA with an engineering background is a plus, not a must.
• Fresh graduates with exceptional organisational instincts are genuinely welcome.
• Excellent written and verbal communication — you can draft an email the CAIO would have written.
• Comfortable with Microsoft Office, CRM tools, and modern calendar systems. Bonus if you’ve already played with AI tools to make your own work faster.
• Detail-obsessed, multi-thread capable, and allergic to dropped balls.
• An outgoing personality, a strong analytical mind, and the kind of warmth that makes people want to stay in touch.
