Key Responsibilities

• Provide direct administrative support to the CEO and Founder, including managing communication, responding to calls, and handling emails professionally.
• Oversee and manage company documents (Word, Excel, PowerPoint, etc.), ensuring all files are professionally formatted, clean, and error-free.
• Provide operational support to the Finance department by verifying vendor invoices, managing petty cash, and tracking basic office expenses.
• Support Human Resources by assisting with new employee onboarding/offboarding logistics and maintaining attendance/leave records.
• Maintain systematic physical and digital filing systems for company records, contracts, and internal documents.
• Monitor and maintain inventory of office supplies, stationery, and pantry items, placing orders as needed.
• Manage the front desk, including greeting visitors and sorting incoming/outgoing mail and deliveries.
• Coordinate with external vendors for facility repairs, Annual Maintenance Contracts (AMCs), and utility services.
• Supervise daily housekeeping and maintenance to ensure a clean, safe, and organized office environment.
• Be open to travel as required to handle coordination across multiple office locations.
• Undertake any other tasks or duties as assigned by the management from time to time.

Required Skills & Competencies

• Advanced proficiency in Microsoft Office Suite (MS Word, MS Excel, and PowerPoint) with a focus on document accuracy and professional formatting.
• Exceptional multitasking ability with the skill to prioritize tasks effectively in a fast-moving, high-pace company.
• Proven ability to work effectively under pressure and meet tight deadlines.
• Strong organizational skills and high attention to detail for error-free document management.
• Good verbal and written communication skills for professional call and email handling.
